COMFORT CASES UK – PARTNER AGENCY TERMS OF AGREEMENT
This agreement outlines the terms under which your agency (“Partner Agency”) may access and distribute Comfort Cases UK backpacks (“Comfort Cases”) to children and young people in your care. By accepting and using Comfort Cases, you agree to the following terms:
1. Purpose and Use
Comfort Cases are designed to provide dignity and support to children entering the care system or experiencing crisis. Each bag contains new, age-appropriate and gender-appropriate essential items to promote a sense of ownership and comfort.
Partner Agencies agree to:
- Use Comfort Cases exclusively for children and young people entering care, transitioning placements, or facing emergency/crisis situations.
- Ensure that each bag is given directly to the intended child/young person and not used for storage, resale, or redistribution for other purposes.
- Keep Comfort Cases intact and complete at the time of distribution.
2. Cost and Funding Support
- Comfort Cases are provided to Partner Agencies free of charge thanks to donations and fundraising.
- If your organisation has access to funding streams, discretionary budgets, or is willing to contribute through fundraising, we warmly encourage collaboration to help sustain and grow the service.
- Contributions are not mandatory but are greatly appreciated and help ensure we can reach more children in need.
3. Handling and Storage
- Bags must be stored in a clean, dry, and secure environment.
- If any issues arise (e.g. damaged or missing items), contact Comfort Cases UK immediately.
4. Feedback and Data
- Partner Agencies are required to provide basic feedback on the usage of Comfort Cases, including:
- Total number of cases distributed (by age group and gender, if possible)
- General impact or testimonials (where appropriate and anonymised) using links on website Order page or by email
- Any concerns, suggestions, or stories that help us improve our service
- Feedback is to be submitted quarterly, or upon request for reporting and funding purposes.
5. Ethical Use
- Partner Agencies must not use Comfort Cases for marketing or media purposes without prior written permission.
- Children’s privacy, anonymity and dignity must be upheld at all times.
6.. Agreement Duration and Review
- This agreement is valid for 12 months from the date of acceptance and will be reviewed annually.
- Comfort Cases UK reserves the right to withdraw support or discontinue provision if the terms are not upheld.
By signing or accepting this agreement, the Partner Agency commits to using Comfort Cases in a way that supports the dignity, wellbeing, and rights of children and young people.
